Bonfire Night event
Another great success, despite the appalling weather! The
committee voted to record their thanks to Tony, Steve, John and Mary for their work in
setting up, and setting off, the fireworks.
Tony advised there was a problem with budget for the fireworks, as
numbers attending dipped at the last minute, leaving us with commitments for spend beyond
the monies collected. The shortfall was some £42. The committee voted unanimously to take
this extra money out of the planning contingency fund, which had raised more money than
actually needed for the planning application. All balance to be held in BRC reserves.
Play area and common land
Tony advised how he and Steve had given up on Mike May and gone
direct to Tandridge Council, and obtained copies of the site planting plans and plans for
the play area and equipment, as well as a copy of the Section 106 agreement obtained by
Sophia previously. (Copies of these are now on the new website).
Steve has submitted the planning application for overturning the
Section 106 clause relating to the play equipment and we hope this will now be resolved by
the end of January.
Handling the Mike May situation
We discussed the ongoing impossible situation with Mike May and
his complete failure to resolve our issues. From the CPM/Fairclough/BRC meeting only one
action out of eleven down to Mike May had been actioned and that was only a meeting
set up with Eric Waite to discuss the brick paving, arranged for this week. Since the
meeting took place in early September we all agreed this was unacceptable. Jan advised
Tony to write to Mike May giving him a "time of the essence" deadline (Done
deadline Tuesday 26/11) after which we will take up the issues with the Fairclough
MD, Mr Prinn, and beyond this legal proceedings and costs.
CPM meeting
The latest CPM meeting was quite appallingly attended only
Tony, Steve, Simon and Caroline turning up. While it is acknowledged that these meetings
are less important than dealings with Fairclough Tony and Steve put on record their
disappointment that the residents seem to be totally ignoring the opportunity to meet with
the company who are spending our maintenance money. The meeting itself went well, with
several issues from the last meeting having been resolved, and Steve taking the
opportunity to complain about the poor work being done on our behalf by CPMs
gardening contractor.
Website
We discussed the idea of having a website, which had previously
been agreed without much discussion of the benefits. Tony said he had set up a URL (on a
free site he has access to) for a temporary site, but this would need to be replaced with
a proper URL (www.brockwoodresidents.com
was suggested) which would cost about £10 per year to register. We discussed the things
that could be put on the site contacts (as long as password protected), minutes,
correspondence, plans, skills register, experts corner, adverts for our own businesses,
babysitting register, how to save money on bills by leveraging other residents
ideas, and maybe a tips on how to manage Faircloughs! Tony suggested making ways of the
site pay for itself, by using affiliate programmes from companies like Amazon.com, and
also to set the site up as a portal to the internet for our community, with an Internet
guide page, suggested sites, best places to shop, a suggestions board, a chat
site/bulletin board, and anything else people might suggest.

Minutes distribution
Tony advised he would be distributing minutes and notes via e-mail
and the website from now on, for all people who have access. All other will continue to
receive paper copies. (AP4.1 ALL residents: Please advise Tony if this is NOT acceptable
to you individually)
Christmas
Jan suggested we put on some kind of Christmas event. We could not
decide specifically what this would involve proposals being mainly centred around a
drinks and snacks evening in one or more houses. Sophia, Jan and Heather agreed to sort
the details, but please can any residents interested in this contact your
"co-ordinator" (see below) with suggestions. (AP4.2 All residents). Suggested
date for the evening event is either Monday 18 or Tuesday 19 December.

Other issues.
Gates. We again discussed the gates, in particular as there has
been a car parked in the Close for over a week which does not appear to belong to anyone
here. Police have put a notice on the car, and have phoned the owner to ask for it to be
moved. While this has not been an issue up until now, the committee agreed it was a
situation a set of gates would obviate. Steve described the gates a friend of his has at
his Close, and agreed to obtain a quote from a contractor. Tony pointed out that roughly
half of the residents had said they do not want gates, but conceded that most of these had
said they would like gates if they were of a high enough quality to warrant having them. A
remote control would be a necessity, for all residents and selected guests, as well as a
number driven keypad.

Notes from Tonys meeting with Eric Waite of Fairclough Homes, 22
November 2000.
We met up to go over the paved driveway, and individual drives, along
with Mr Devine, of contractor Devines. It was a good day to do this, as recent rain had
left puddles in all the dips. We walked the whole site, and I marked on a plan (our own
what are these people like?) areas which had dipped, and also areas where I thought
the finish was poor, or there was a lack of sand packing. We also discussed the issue of
the tarmac drives and I advised Mr Waite that he needs to stop messing around and call a
meeting of all the affected householders and finally resolve the issue. Mr Devine said he
would be doing the work, and was happy to do whatever is decided, but he did say that he
felt most of the drives were of a good quality, and counselled against radical changes,
which would not necessarily improve the surfaces. He agreed that no. 7 and no. 15 were
exceptions to this.
It was a very positive meeting, and they agreed that Devines would
come next week, on Wednesday and Thursday subject to weather in the intervening days, and
would do all the driveway areas in need of repair, including any specific things any
residents would like addressed.
After this meeting I discussed the common land area with Mr Waite, and
he agreed this would be the next task he undertakes to resolve. As I had the original
approved planting plan Steve and I had obtained from Tabdridge, and could advise him that
the Council were very interested in the fact that the planting had not been completed, it
was a very one-sided discussion. With 12 trees missing, many trees that have been planted
dead, and the main shrub bed at least half its proper size (see plans on the website), he
could not really argue! I have since received a letter from him advising he has contacted
a landscaping contractor (not Waltons!) to come and assess the situation.
